Staffing Assistant

Waeg, an IBM Company is a Salesforce Platinum Partner providing certified consultancy for enterprise-level organizations all across Europe. We are looking for a Staffing Assistant who will be responsible for the administration cycle of Staffing, such as time-keeping and generating reports. You will be working closely with the Head of Delivery, Staffing Manager, Staffing Associate(s), Talent Acquisition and Business Partner teams.

Your role

As a Staffing Assistant, you will have the following responsibilities:

  • Support of administrative needs related to staffing requests;

  • Generate and send out bench reports in alignment with Staffing Manager which reflect the billability and project success;

  • Attend meetings with different stakeholders to support the administration for Resource Forecasting;

  • Gather data to support the Staffing team with workforce planning and identify capability gaps;

  • Proactively follow up with timekeeping and time-off requests, including timesheets approval and time-off control;

  • Manage and investigate time administration: Opening and closing of various time codes for Waegers;

  • Regularly update various delivery and staffing systems ensuring great data quality; Organize and maintain employee records: f.e. Ensure CV’s of Waegers are up to date at all times;

  • Create and maintain delivery engagements in alignment with the stakeholders responsible;

  • Guarantee compliance with internal and external policies and regulations;

  • Prepare and submit reports on staffing operations.

Your skills

As a Staffing Assistant, you bring a go-getter attitude and 2+ years of experience in an administrative role to the table and:

  • Proven work experience in administration role or staffing assistant role;

  • Understanding of the administrative processes of consulting companies and how they affect the business;

  • Excellent organizational skills;

  • Great attention to detail;

  • Strong verbal and written communication skills in English;

  • Professionalism while collaborating with varying stakeholder levels;

  • Client-focused profile and great listening skills

  • Autonomous and proactive approach.
